Approving a sample is an important moment for a brand and its development partner. The next task is to make sure the approved version is described clearly enough for the teams preparing production, inspection and packaging.
A structured handover helps keep those teams aligned. It also makes remaining questions visible before they are treated as settled decisions.
Identify the approved version
Record the sample identifier, approval date and the documents that describe that version. If approval includes conditions, list them explicitly. A comment such as “approved after the colour change” needs a corresponding update and a clear way to confirm that the change has been completed.
Keep the approved reference and the latest specification connected. Appearance references, functional requirements and any agreed accessories should refer to the same product configuration.
Bring product information together
Review the information that the production team will use. Depending on the scope, this may include drawings, component references, finish specifications, assembly information and software versions. The exact package should be agreed with the team responsible for the work.
Identify the owner of each document and how revisions are controlled. If a brand sends new artwork or a revised accessory requirement, the receiving team needs to know whether it replaces an earlier approved version.
Define the inspection conversation
Agree which checks are required, how results will be recorded and who reviews questions or exceptions. Connect the checks to the product requirements rather than relying on an informal understanding of what “good quality” means.
- Which appearance references will be used during review?
- Which functions need to be checked against the agreed specification?
- How will a sample or unit be identified in the records?
- Who decides what happens when a result needs investigation?
- Which changes require renewed approval?
These are planning questions, not a substitute for a product-specific quality plan. The development and production teams should establish the appropriate details for the project.
Check packaging as part of the product
Confirm the intended contents, artwork version, labels and instructions. Review how the device and accessories are arranged and how the package will be handled through the intended delivery process.
Keep marketing text aligned with the approved product information. If a feature or accessory changes, review the packaging and instructions as well as the product specification. Assign a final artwork approver so that production receives one clear release.
Use a handover checklist to close open items
Before the next production milestone, review unresolved questions with their owners and target decision dates. Confirm the approved configuration, documentation, inspection plan, packaging and change process together.
